The Office Manager position is responsible for providing high level assistance to our corporate office.  This role will be responsible for significant, highly visible projects and relationships, and will act as a liaison to clients, outside boards and internal management teams.


  • Completes a broad variety of administrative tasks including: managing a very active calendar of appointments; booking conference rooms, coordinating catering, completing expense reports; composing and preparing correspondence that is often confidential; arranging complex and detailed travel plans (private and commercial air, ground, hotel, restaurant reservations, etc.), itineraries, and agendas; and compiling documents for travel-related meetings.
  • Researches, prioritizes, and follows up on incoming issues and concerns as requested, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.Completes all other projects or requests as assigned by Supervisor.
  • Provides leadership and takes initiative to manage a variety of special projects, some of which may have organizational impact.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters and business and personal correspondence.
  • Coordination and scheduling of travel for executives and other employees of the company.
  • Maintains communication with investors, including distribution notices.
  • Manage all aspects of the event planning process, including collaboration with subcontractors, venue identification, menu development, printing and design of materials and budget tracking.
  • Develop and implement new administrative systems.
  • Processes expense reports on behalf of Leaders.
  • Processes invoices and enters data into accounting software.
  • Manages the office space, including ordering supplies and ensuring the space is clean and stocked.
  • Answers all incoming calls.
  • Creates various reports as needed.


  • High school diploma required.
  • Minimum 5 years of Office Management experience.
  • Licensed Notary preferred.
  • Demonstrated proficiency with all other Microsoft Office products.
  • Must be self-directed, able to anticipate, operate autonomously, constantly reprioritize, and deal with a dynamic environment.
  • A professional demeanor is always to be maintained.
  • Maintains absolute integrity, tact, sensitivity, and confidentiality both personally and among team members with respect to sensitive information.
  • Must be an excellent communicator, keeping two-way communication flowing with key stakeholders, inspiring trust and credibility, demonstrating sound judgment and decision-making
  • Must be able to operate and perform basic troubleshooting on general office equipment.
  • Must possess strong attention to detail.
  • Highly responsive to emails and dependable follow-through.
